Information from clients and third parties
When we work on your behalf, you or your systems may give us access to business data (emails, calendars, CRMs, documents, customer or vendor contacts, credentials for tools you authorize). We treat that as client confidential data, used only to perform the contracted work.
How we use information
We use personal and business information to:
- Respond to inquiries and pilot requests
- Deliver, manage, and improve our services
- Schedule work, communicate status, and send operational notices
- Process payments, issue invoices/receipts, and maintain business records
- Secure our systems and prevent fraud or abuse

We do not sell your personal information.
How we share information
We may share information with:
- Service providers who help us operate (website hosting, email, forms, analytics, payment processing such as Stripe) under obligations to protect data

- Authorities when required by law or to protect rights and safety
- A successor entity in the event of a merger, sale, or reorganization, subject to this policy’s spirit
Client work product and client systems data are shared only as needed to perform the services or as you direct. We do not use client customer lists for our own marketing.
Client confidentiality (VA / back-office work)
Confidentiality is central to virtual support work. We:
- Use client data and system access only for agreed tasks
- Limit access to people who need it to perform the engagement
- Do not disclose non-public client information except as you direct, as needed to deliver services, or as required by law
- Expect you to grant only the access required for the work and to revoke access when the engagement ends
Additional confidentiality terms appear in our Terms of Service.
Cookies and analytics
Our site may use cookies or similar technologies for essential function and to understand site usage (for example, page views and traffic patterns). You can control cookies through your browser settings. Disabling some cookies may affect site features. Third-party tools embedded on the site (forms, payment pages, analytics) may set their own cookies subject to their policies.
Payments (Stripe)
When you pay for a pilot or retainer, payment is processed by Stripe. Stripe may collect billing name, email, payment method details, and related transaction data. See Stripe’s privacy policy. We receive confirmation of payment status and limited billing metadata needed for accounting and customer support, not full card numbers.
Data retention
We keep information as long as needed for the purposes above, including:
- Inquiry and form records: typically for a reasonable business period after last contact, unless you request deletion sooner where allowed
- Client project records: for the engagement plus a reasonable archive period, or as required by law / contract
- Billing and tax records: as required by applicable law
When retention ends, we delete or de-identify data where practicable. Backup copies may take additional time to clear.
Security
We use reasonable administrative, technical, and organizational safeguards appropriate to a professional services firm. No method of transmission or storage is 100% secure. Please use strong unique passwords, prefer password managers and role-based access for shared tools, and revoke our access when work ends.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of certain personal information, or to opt out of certain processing (including targeted advertising where applicable). To make a request, email privacy@internetbutlers.com. We may need to verify your identity. We will not discriminate against you for exercising privacy rights available under applicable law.
You may unsubscribe from marketing emails using the link in those messages. Operational and service emails related to an active engagement or transaction may still be sent.
